Terms & Conditions

These Terms & Conditions (“Terms”) govern your use of the Staypooling website and mobile app (the “Platform”), operated by [COMPANY NAME — to be completed in Admin → Content → Legal Info]. By creating an account, booking a stay, or otherwise using the Platform, you agree to be bound by these Terms, our Privacy Policy, and the Staypooling House Rules. If you do not agree, please do not use the Platform.

Staypooling is a room-sharing platform for luxury villas: instead of renting a whole villa, you book an individual room within a fixed-date group stay, and can add meals, activities, and services à la carte. Staypooling acts as an intermediary between travelers, independent villa owners, and local service providers. Staypooling does not own the villas listed on the Platform.

You must be at least 18 years old to create an account or book a stay. You are responsible for the accuracy of the information you provide and for keeping your login credentials secure. Staff accounts (concierge, admin) are subject to additional internal terms.

A booking is confirmed once payment is completed through our secure payment processor (Stripe). Prices are shown per room and may vary by occupancy; à la carte services are priced separately and shown before checkout. Staypooling charges a service commission included in the displayed price — the breakdown between villa owner, service providers, and Staypooling is not itemized to travelers.

Unless a specific stay states otherwise:

• Cancellations made 30 days or more before the stay start date receive a full refund.
• Cancellations made between 30 and 14 days before the stay receive a 50% refund.
• Cancellations made within 14 days of the stay are non-refundable.
• If Staypooling cancels a stay, affected travelers receive a full refund automatically.

Refunds are issued to the original payment method and may take 5–10 business days to appear.

Meals, activities, transport, and other services can be added before or during your stay. Services proposed by your concierge during the stay are optional and require your explicit acceptance and payment before being confirmed.

Every booking is subject to the Staypooling House Rulesand any rules specific to the villa you're staying at, shown on that stay's Rules page. By completing a booking, you confirm you have read and agree to both. Staypooling and villa owners reserve the right to charge for damages beyond normal wear and tear, and to remove a guest from a stay in case of serious or repeated violations.

Stays include a private group chat with your co-travelers and concierge. Content shared there is meant to stay within the group. Reviews between co-travelers are double-blind and only revealed once both parties have submitted theirs. Harassment, discrimination, or abuse of other users may result in account suspension and, where relevant, be reported to the appropriate authorities.

Villa owners and activity/service providers listed on the Platform are independent third parties, not employees or agents of [COMPANY NAME — to be completed in Admin → Content → Legal Info]. Staypooling verifies partners on a reasonable-efforts basis but does not guarantee their conduct, and is not a party to the accommodation itself.

To the fullest extent permitted by law, [COMPANY NAME — to be completed in Admin → Content → Legal Info]'s liability for any claim relating to a booking is limited to the amount paid for that booking. Staypooling is not liable for indirect damages, loss of enjoyment, or events outside its reasonable control (force majeure), including but not limited to acts of villa owners or third-party service providers.

All content on the Platform (branding, design, text, and software) is owned by [COMPANY NAME — to be completed in Admin → Content → Legal Info] or its licensors and may not be copied or reused without prior written permission.

Staypooling may suspend or terminate an account that violates these Terms, the House Rules, or applicable law, with or without notice depending on severity.

We may update these Terms from time to time. Material changes will be communicated by email or through the Platform before they take effect. Continued use of the Platform after changes take effect constitutes acceptance of the revised Terms.

These Terms are governed by the laws applicable at [COMPANY NAME — to be completed in Admin → Content → Legal Info]'s registered office ([REGISTERED ADDRESS]), without prejudice to any mandatory consumer protection rules of your country of residence. Disputes will preferably be resolved amicably; failing that, they are subject to the competent courts.
